4 Key Pillars of Effective Business Systems

Effective business systems are the backbone of any successful organization but there is often confusion around what exactly business systems are. I hear many people using business systems, processes, and technology interchangeably where there is a distinct difference between them.

Business systems are a series of connected processes that may or may not include technology. Processes are a series of documented steps or tasks to achieve a specific outcome. Technology is a tool used to execute processes and is often part of a business system. You can take a deeper dive in this article on business systems vs processes.

Now that we know the differences, we can break down the four key pillars of effective business systems: Planning, People, Process, and Technology. And look at how each one has an impact on your organization.

Planning: The Compass Guiding Your Business

In any business journey, a robust planning function will have the compass pointing you in the right direction. This is especially true as you start to look at individual systems within your business. By establishing specific, measurable, and timely goals, you can achieve your desired outcomes more efficiently. Let’s take an Inventory Management System as our example. If we devised a SMART goal to evaluate our current system and identify opportunities for improvement, we would now have a clear path forward with measurable results that impact our organization.

People: The Lifeblood of Your Business System

People are more than resources; they are the lifeblood of your business systems. By engaging the people closest and adjacent to the processes within your system, you’ll have access to an endless list of insights and practical ideas for improvement. Beyond engaging our teams, we need to execute on their ideas and ultimately remove the roadblocks they are facing. Without people, our businesses have no chance of surviving let alone thriving.

Process: The Engine Driving Your Operations

Processes are the engine driving your business operations forward. And efficient processes are what translates our strategic visions into reality. Processes are also what support our people and are often the bridge between connecting people and technology. When we clearly define our processes and implement a cycle of improvement around them, we not only increase efficiency but usually morale as well.

Technology: The Power Tool of Modern Business

We cannot ignore the power of technology. When leveraged correctly, technology can streamline operations, reducing manual errors and expediting processes. But it’s crucial to remember that technology is just a tool to execute clearly defined processes through both planning and people, it should never be the starting point. Beginning with technology is the reason we see a 75% failure rate in technology implementations cited by many industry giants.

Final Thoughts

The four pillars of Planning, People, Process, and Technology form the cornerstone of effective business systems. By creating systems that optimize these areas, we can build resilient operations capable of driving growth and operating with excellence.

That’s it for today.

See you all again next week!
